Olea Venture Partners is a healthcare and life sciences venture capital firm investing in early-stage companies across Europe and globally, with a focus on AI-enabled healthcare, medical devices, diagnostics, and tech-enabled care delivery.
We are looking for a highly organized, proactive, and dependable Office Manager to support the day-to-day operations of the firm and help maintain an efficient, professional, and collaborative working environment.
Role Overview
This role supports the smooth operation of Olea Venture Partners operations across administrative, operational, scheduling, and coordination activities. The successful candidate will work closely with the investment team and external stakeholders, helping ensure strong operational execution across the firm’s daily activities.
The role requires professionalism, discretion, strong organizational skills, and the ability to manage multiple priorities in a fast-paced environment.
Core Responsibilities
Team & Executive Support
- Provide organizational support to the investment team and leadership
- Coordinate meetings, calls, presentations, and onboarding activities
- Assist with preparation of internal and external materials when needed
Office Operations & Administration
- Coordinate calendars, travel, meetings, and office administration
- Manage day-to-day office operations, logistics, supplies
- Support expense tracking, invoicing coordination, and internal documentation
External Coordination & Events
- Act as a professional point of contact for founders, investors, and partners
- Coordinate conferences, ecosystem events, office visits, and internal gatherings
- Support logistics, scheduling, invitations, and event execution
Operational Support
- Assist with CRM organization, reporting, and internal processes
- Help maintain efficient workflows and operational systems across the firm
Qualifications
- Bachelor’s degree in business administration, communications, management, organizational studies, or a related field preferred
- Prior experience in office management, operations, administration, or executive support is required
- Strong organizational, communication, and multitasking skills
- Professionalism, reliability, discretion, and attention to detail
- Comfortable working with senior stakeholders and external partners
- Proficiency with standard productivity and communication tools
- Fluency in English
Location & Presence
This role is based in Athens, Greece, and requires regular in-person collaboration with the Olea Venture Partners team.
